At Mail Sorter, we want you to be completely satisfied with our service. This Cancellation Policy explains how to cancel your subscription, when cancellations take effect, and our refund policy.

How to Cancel Your Subscription

You can cancel your Mail Sorter subscription at any time through our self-service customer portal. Here's how:

  1. Log in to your Mail Sorter account
  2. Navigate to your Profile settings (click your profile icon in the top navigation)
  3. Select the Plan & Usage tab
  4. Click the Manage Billing button
  5. In the customer portal, click Cancel subscription
  6. Follow the prompts to confirm your cancellation

When Does Cancellation Take Effect?

When you cancel your subscription:

  • Your subscription remains active until the end of your current billing period. You will continue to have full access to all features and your monthly PDF limit until your subscription period ends.
  • You will not be charged again after your current billing period ends.
  • Your account will be downgraded at the end of the billing period, and you will no longer have access to premium features or PDF processing.
  • Your data is retained for 90 days after cancellation. During this time, you can reactivate your subscription and regain access to all your historical mail data.

Free Trial Cancellation

If you are on a free trial:

  • You can cancel your trial at any time with no charges.
  • If you cancel during your free trial, your access will end immediately or at the end of the trial period (depending on when you cancel).
  • If you do not add a payment method before your trial ends, your trial will automatically expire and no charges will be made.
  • You will receive a reminder email 7 days before your trial ends.

Refund Policy

Our refund policy is as follows:

  • Monthly Subscriptions: We do not offer refunds for partial months. When you cancel, you retain access until the end of your current billing period.
  • Service Issues: If you experience technical problems that prevent you from using our service, please contact support. We will work to resolve the issue or, if unable to do so, may provide a prorated refund at our discretion.
  • Billing Errors: If you believe you were charged in error, please contact us within 30 days and we will investigate and issue a refund if appropriate.
  • First-Time Users: If you are not satisfied with Mail Sorter within the first 7 days of your paid subscription, contact us for a full refund (this does not apply to free trials).

What Happens to My Data After Cancellation?

After you cancel your subscription:

  • 90-Day Grace Period: Your account and all associated data (mail items, PDFs, summaries) are retained for 90 days after cancellation. You can reactivate your subscription during this period and immediately regain access.
  • Data Export: Before cancelling, you can export all your data through your account settings (Export Data feature coming soon).
  • After 90 Days: All account data is permanently deleted from our systems in accordance with our Privacy Policy. This deletion cannot be undone.
  • Account Information: Basic account information (email, name) is retained for legal and compliance purposes as outlined in our Privacy Policy.

Reactivating Your Subscription

Changed your mind? You can reactivate your subscription at any time:

  • Within 90 Days: Log in and visit the Pricing page to resubscribe. All your previous data will be restored immediately.
  • After 90 Days: You can create a new subscription, but previous data will not be available.

Involuntary Cancellation

Mail Sorter reserves the right to suspend or cancel your account if:

  • Payment fails and cannot be resolved after multiple attempts
  • You violate our Terms of Service
  • We detect fraudulent or abusive activity on your account
  • We cease operations (in which case you will be notified in advance and provided with an opportunity to export your data)
